You entrust us with your data when you place an order with us, make an appointment or sign up for our newsletter. We handle it carefully. On this page, you can read in plain language what data we use, why we use it and what you can arrange yourself.

1. Who we are

2. What data we use
- For an order: your name, address, email address, telephone number, and what you ordered and paid for. Your payment is processed through a payment service provider. We do not see your full card or bank details.
- For personalisation: your ring size, engraving text and any other preferences you provide.
- For an account: your login details, order history and wish list.
- For an appointment in our showroom: your name, contact details, the time of your visit and what you tell us in advance.
- When you contact our customer service: your messages and the photos or attachments you send.
- For our newsletter: your email address, first name, preferences, and whether you open and click on our emails.
- When you visit our website: your IP address, the device and browser you use, and which pages you view. This is done via cookies; see chapter 5.
- For a review or photo you share with us: its content and the name under which you post it.
- For a job application: your CV, motivation letter and contact details.
3. What we use your data for
- To process and deliver your order, keep you informed about its status, and handle returns, repairs and warranty claims. This is necessary to fulfil our agreement with you.
- To answer your questions and prepare for your appointment in the showroom. This is also part of the service we provide to you.
- To comply with the law, for example the obligation to retain our records.
- To send you our newsletter and personal offers. We do this if you have subscribed to them, or if you are a customer and we inform you about similar jewellery. You can unsubscribe at any time.
- To improve our website and collection and to prevent fraud and misuse. We have a legitimate interest in doing this and ensure that your privacy outweighs this interest where necessary.
- To measure how our website is used and to show you relevant adverts. We only do this if you have given your consent via the cookie notice.
4. Who we share data with
We only share your data with parties that help us serve you properly, and only to the extent necessary:
- our online shop and till system (Shopify);
- payment services, such as Shopify Payments, Klarna and PayPal;
- our warehouse system and the carriers that deliver your parcel, such as DHL and PostNL;
- our returns portal (Returnless);
- our customer service software (Gorgias);
- our email marketing software (Klaviyo);
- review, wishlist, loyalty programme and appointment scheduling services;
- analytics and advertising services, such as Google, Meta and Triple Whale, if you have given your consent;
- our accountant and accounting software.
We have agreements with these parties regarding the security and use of your data. They may not use your data for their own purposes.
Some customer service enquiries are answered with the help of an AI assistant. If you would prefer to speak to a member of staff, please let us know.
If you have given consent to marketing cookies, we may share an encrypted version of your email address with advertising platforms so that you see adverts that are relevant to you.
If you visit our website via an advert and have given consent to marketing cookies, we record details of that advert click when you attend your showroom appointment. If you subsequently buy something in our showroom, we inform the advertising platform that the click resulted in a purchase, including the date and amount of the purchase. We do not send your name, email address or telephone number with this information.
Some of these parties are based outside the European Economic Area, for example in the United States. In that case, we ensure appropriate safeguards, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.
We also provide data to the authorities when required to do so by law.
5. Cookies
Our website uses cookies and similar technologies:
- functional cookies, which are needed for the website to work, for example for your shopping basket and language selection;
- analytical cookies, which help us see how the website is used;
- marketing cookies, which enable us and our advertising partners to show you relevant adverts.
We only place analytical and marketing cookies with your permission. You can change your choice at any time via the cookie settings on the website or in your browser.
6. How long we retain your data
We do not retain your data for longer than necessary:
- orders and invoices: seven years, because the Dutch Tax and Customs Administration requires us to;
- your account: until you ask us to delete it;
- contact with customer service: up to two years after handling your query;
- showroom appointments: up to one year after your visit;
- newsletter: until you unsubscribe;
- job applications: up to four weeks after completion of the procedure, unless you give us permission to retain your data for longer.
7. Your rights
They are your data. You can always ask us to:
- to access your data;
- to have your data amended or deleted;
- to restrict the use of your data or object to it;
- to transfer your data to you or another party;
- to withdraw consent you previously gave.
Send your request to hello@amsterdamvintagejewels.com. We will respond within one month. To make sure we are dealing with the right person, we may ask you to confirm your identity.
If we cannot resolve the issue together, you can submit a complaint to the Dutch Data Protection Authority. Of course, we hope you will contact us first so that we can resolve it together.
8. Security
We take appropriate technical and organisational measures to protect your data. Our website uses a secure connection, payments are processed through certified payment services, and only employees who need your data for their work can access it.
9. Your photos on our channels
We love seeing how you wear our jewellery. Sometimes we ask whether we may share a photo you have posted on Instagram or another platform on our website, in our newsletter or on our social media. We only do this with your permission. If you would like us to remove a photo, please send us a message. We will remove the photo as soon as possible and no later than within 30 days.
10. Minors
Our online shop is not aimed at children under 16. We do not knowingly collect their data. If you think we may nevertheless have a child's data, please let us know and we will delete it.
11. Changes
We may amend this privacy policy, for example if we start using new services. You can always find the most recent version on this page. We will let you know about any important changes.
